Annual Training

    My organization covers a service area of 12,000 square miles and includes 28 facilities.  Having such a large service area makes it difficult for my team of 3 educators to complete annual trainings.  Does anyone have any thoughts or experience on how to provide annual trainings?  I would like to look into virtual options or a type of "tool kit" that we could send to remote clinics so they can run their own trainings.    I would appreciate any thoughts or feedback!

    Good Morning,

    We are in a similar situation.  We have four full-time educators responsible for around 2000 clinical associates (MA, LPN and RN) across the state.  We have been building what we call Service Line Preceptors (these associates will be responsible for the annual check offs) and are currently using Donna Wright's competency model to standardize the process.  This is a work in progress and we are nowhere near finished but the work has started.

    We cover a large geographical area as well, and we support RN, LPN, and MAs. Last year for annual training, our education team worked with our Workday design team and created a program for all staff. It included videos with questions imbedded throughout. Because it was our first year, we had one program. This year we are expanding to include specialties with different tracks.

    Hi Michelle,

     

    While our ambulatory footprint is not quite as large as yours, we have established a "train the trainer" program for some of our annual competencies.

    For example, SME's (subject matter experts) are required in each practice who performs POC testing.

    We validate the SME's competency annually, and they in turn sign off the staff in the local clinics. SME's can be MAs, LPNs, RNs- depending on the clinics' staffing models.

    Depending on what annual competencies you require, I am sure some of them can be done virtually.

    Hi Michelle,

    I feel your pain. 1900+ employees to train with one educator and myself. We have begun to utilize Sharepoint as a virtual option. You can train nurse managers or charge RNs at each location as super users to provide hands on training when necessary. Hope this helps.

    My organization has 9 clinical sites, and 5 dental sites.  We cover our capital city as well as two other major cites one located 51 miles away and the other located 43 miles away.  We do an annual Skills Fair, where we cover annual skills sets us blood pressure measurement, phlebotomy, infant measurement and weighing, vaccines schedules, and anything that we deem necessary after I send out our annual Training Needs Survey....  

    I then put on 5 Skills Fair 1/2 days, and travel to the two farther sites one date each, taking the training to them... I know when you have a bigger service area that this may not be feasible, but you can work with your training team to develop a standard fair at your locations.  I am happy to send an example of a Skills Fair packet that we have utilized... It is how we document the staff member completed the stations.  I have the managers at the sites take time to help me host this, as I can not do it with out the support of the leadership team.  Our quality officer and DON run a station as well.

    Hi Michelle,
    We have our Clinical Improvement Specialists (CIS), and our MA-Leads for each department trained to check off staff competencies, and then return the completed forms to the education department. The Education Department develops the competencies and ensures that new CIS are familiar with all competencies in their respective departments to train/evaluate their staff.
    The Education Department in the past year also completed 2 travelling skills fairs. But with the limited staff that we had this was difficult. We did recruit some of our CISs to assist with the skills fair, which was fantastic.

    We have a similar footprint, over 400 clinics over a large geographic area with 3 educators. For the past two years, we utilized a train-the-trainer model with much success.     We have preceptors or trainers in each of our 140+ clinics who have completed a Train the Trainer session with our Clinical Education team. These preceptors/ trainers complete the annual competencies for the clinical staff. This works very well for your organization and provides the preceptors an opportunity to identify which areas their staff needs additional training or support.

    the competencies check list I use would not be helpful for your situation. I do competency checks on care coordination nurses who do primarily phone calls. However, our organization has a form that helps you to determine what you should be checking. It is a worksheet that allows you and your front line people to identify which skills are critical and which are less so.  I like it because you meet with the staff and they are the ones identifying what they are doing  to be competent, not you. You do it with them. I will attach a blank form and one that is a sample completed form. Hope this helps identify what you could be reviewed.

    One of the best ways I have found to do training, (from when I was a nursing instructor) was to record the lecture on Camtasia. Camtasia is a software that allows multiple functions to record your lecture and your screen. What is really cool is it has a lot of extras such as pencil markings, zooming in to finite picture or adding additional script or highlighting something important. you can add music. You can add a video from youtube. It is not really easy to learn, but once you do, you keep on learning and it becomes intuitive.  The nice thing about it is you can edit it. so if you make a mistake, you can take it out of the recording, unlike voice over PowerPoint.
    The key to making it interesting is by NOT reading the script. Talk to them as if you were teaching a class. Make your voice go up and down with expression, just like you teach.  My students loved the recordings as they could listen to them in the car and other places.  this is not for check offs, but it is for significant training. If you need to have them view your computer screen, it allows you to record your desktop.  I love it and it may be something your IT people could help you with.  Just a thought.
