  • 1.  Late/No show patients- time allotted

    AAACN team,

I am looking to find information about how late do you allow patients to be for visit until they are marked as a "No Show". Looking for standardization across a large amount of practices. Thank you

After lengthy discussion and many changes to the policy, our practices settled on 20 minutes. We always encourage providers to see the patient no matter how late if they can work them in at the end of the session but do understand that late patients can be disruptive to the practice.  I'll be interested to see what others are doing about this difficult issue.

We do much the same as you Toni, only we have a 15 minute time limit. The front desk must check with the provider before asking the patient to reschedule, as many times our providers will find a way to work them in.

We have providers that all work different appointment lengths at my clinic (15/30; 20/40; 30/45). So our company's late/no-show policy is half the appointment time.  If it is a new to our clinic patient, then the half appointment length late policy includes the 15-minute check-in time.  We do usually check with the provider just in case they want to do a short visit for something or if it can be flipped to MA or RN appointment for something (BP check, vaccines)

We have a standard late/no show policy of 30 minutes. The staff will also check with the provider before rescheduling as the patient may have an urgent request or need a medication refill prior to their next appointment.

We have a 20 minute policy, at which point the provider is asked if they are still willing to see the patient.  If they say no, the front desk will reschedule.  If they are not seen, no action is taken in our EMR, the system will automatically mark them as "No Show" at midnight.

We allow them 15 minutes from the time of arrival(which is 15 minutes prior to the appointment time).  If they are late, then we ask the provider if they want to see them.  If not, then they get rescheduled.  It still counts as a no show for the patient. Once they reach 3 no shows, we will ask the provider if they want to dismiss them from the practice.

I'm at a larger system and the population in which we serve is so vast. Our No Show policy is 30 minutes. However, we do allow lead way for bottle necks at registration or mechanical issues with the elevators we usually extend to 45 minutes. However, for our OB clinic we see the patients regardless of what time they show up. We usually wait hours be fore we No Show them.

Our No-Show policy has been under discussion for years. Currently, our policy is 10 minutes from the start of their appointment time. Our appointments are 15 or 30 minutes long depending on the type of appointment. If the patient No Shows, our appointment staff are allowed to replace them with another patient after the 10-minute time frame. We ask our patients to arrive 15 minutes prior to their appointment to check-in, but since we are a college practice checking-in early does not usually happen.

We have had this conversation multiple times in my organization we have finally landed with the following: The patient arrives to the appointment after the equal amount of time for appt, or 30 minutes after the scheduled appointment time. (Ie. Appointment is in a 15 minute time slot, can be no showed at 15 minutes. Appointment is in a 1 hour time slot, no showed at 30 minutes). This has worked for us for the last couple of years.
