  • 1.  Paperwork Flow for clinic

    Hi all,

    I currently manage a very busy Diabetes/Endocrinology clinic. we see about 120-170 patients a day with 6-7 staff rooming patients, one dedicated to nurse triage line (about 50-70 phone calls per day), one dedicated to nurse/medication visits, and down an FTE that normally works on paperwork and PAs. One of the challenges we face is getting through the mountains of DME paperwork that come through. We are currently down an RN in clinic which is contributing to the backlog, but there has got to be a better way! Does anyone have a great system for handling DME? Currently, we use Parachute whenever we are able, but many companies still aren't able to "push" orders through Parachute, so the initial order always comes through fax. we get about 100 fax requests for supplies, paperwork, etc. each day of the week. It seems like we just can't get ahead of it to a point where companies are just sending duplicates and triplicates of the same requests. is the best way to just dedicate a single FTE to this process? How about printing and sorting requests? 

    I am wondering if the answer is just more staff, and keeping one set of eyes on the project to identify duplicates, but wanted to see if anyone else had a great system.

    It can be hard to find a nurse/staff that is satisfied with working on PAs and paperwork day in and day out. Throughout our clinic system we have nurses that we refer to as "triage" but these individuals are assigned certain providers who they are responsible for their phone calls, mychart messages, PAs and paperwork. This has seemed to work well to keep a little variety and limit the number of different people communicating with providers asking for advice/signatures etc. Our front desk staff prints and sorts faxes/incoming documents into mailboxes per provider. I don't know if any of that is helpful or different enough from your current process, but it does seem to work well for us.
