  • 1.  Electronic Employee Onboarding Portal

    Hello, 

    I am one of the Ambulatory Education Coordinators for the Ambulatory Clinics at Children's Mercy Hospital in Kansas City, Missouri.  Our organization has an amazing opportunity for staff to submit innovation ideas and win money towards making that innovation come to fruition with the assistance of our Innovation Lab.  Our group submitted in Fall 2023 and won!  Our innovation was to develop an electronic onboarding portal for our new employees.  This would allow for all employees hired to access a central location to upload all of their required documents, access hospital orientation info, hospital-wide orientation details, department-specific orientation details, and more.  We have looked online to try to find examples of online onboarding portals for hospital organizations, but are not having much success.  We have found some helpful portal programs that exist in the university world and other non-hospital examples.  Since we have like members in this group, I am posting to see if any of you could offer guidance for what your hospital organization uses for an electronic onboarding portal. 

    QUESTIONS:

    1. What program does your hospital organization use for an electronic onboarding portal?
    2. Is the program your organization uses able to be customized on the organizations needs? 
    3. Based on use of the program, are there any MUST HAVES for an electronic onboarding portal we should consider before purchasing? 
    4. Are there any additional suggestions or feedback you can share that would be helpful in our information gathering stage? 

    We appreciate any guidance you would like to offer!

    Amber,

    I have a clarifying question for you! Do you mean that the documentation of competency would be competed electronically, or that it would be completed on paper and then uploaded onto this program? 

    Do you have any sort of electronic Learning Management System currently?

    Hi Andrea,

     

    I appreciate you reaching out with your question!  This would not be to document competency, since we have a Learning Management System, but for onboarding the New Hire to our organization.  This would include ALL staff that are New Hires, not just nursing.  This would allow the New Hire to go to this centralized portal to get their orientation details at the organization level and clinic level, prior to their start date and beyond.  The staff would be able to upload any documents (ie. Vaccine records, licensure, certifications, etc.) that HR or any other department require, as part of our hiring process.  From an access standpoint, anyone who has input on the orientation for the individual will have access to upload documents, instructions, detailed info, and such.  A one stop shop for that New Hire, instead of sifting through their email for details from HR, Occupational Health, Children's Mercy Orientation, Clinical Orientation/Non Clinical Orientation, Program Contacts, and Department Leader.  This would also allow for one place for all these departments to access information, make edits when needed, and additional details for the New Hire.   The possibilities are endless! 

     

    We currently use Cornerstone as our Learning Management System.  It does have capability, but during our trial of looking at the capability, it doesn't fully meet our needs.  This is why I chose to post on here for like people.  Such a great resource to get input and not have to complete recreate the wheel.
